How do I add a Donation Coordinator profile?

Each donation appeal must be associated with a coordinator.

  • The coordinator's contact information will be displayed in the Thank You email sent to donors.
  • A copy of the Thank You email for one-time and new recurring donations will be sent to the coordinator associated with the appeal. Error notifications will also be sent to the coordinator if a recurring payment cannot be processed.


You can input a specific person as coordinator or use generic language consistent with your organization's business practices, for example "Fundraising Admin" or "Donation Coordinator".

  1. Click Donations in the left navigation.
  2. Click Coordinators.
  3. Click Add Coordinator.
  4. Enter the coordinator's information into all fields:

    • First Name of the coordinator, that is shown on the confirmation message.
    • Last Name of the coordinator, that is shown on the confirmation message.
    • User Name. Although this field is required, login functionality is not currently available. At a future date, the coordinator will be able to use this user name to log into a restricted Admin section of your GiftTool account. (This should be different than the user name established for your main GiftTool account)
    • Password. Although this field is required, login functionality is not currently available. At a future date, the coordinator will be able to use this password to log into a restricted Admin section of your GiftTool account. (This should be different than the password established for your main GiftTool account)
    • Email Address, that is shown on the on-screen confirmation message and associated with the Thank You email. The email address listed will also receive a copy of the Thank You email when a donation is made online.
    • Telephone Number, that is shown on the on-screen confirmation message and the Thank You email.
  5. Click Save.
  6. Next, select the coordinator when setting up your donation appeal form.
