How do I quickly check to see who owes money for an event?

By generating the printer friendly version of the Total Orders report, you can see a quick snap shot of the event name, ID, location, date, total order value, total balance due, number of registrants and a detailed view of each registrants payment history and status for that event.

Note that registrants may have two or more orders (the original order and any additional order modifications or cancellations). Therefore, you should add up the balance due from each order, to determine the final amount owing.

Alternatively, create a Custom Orders report for net orders, so that each registrant will be listed on a seperate line with the Balance Due column displaying the net amount due across all orders for this participant (learn how).

To quickly view the report:

  1. From the main menu of the Registrar Service, click Reports.
  2. Select your event name from the drop down list.
  3. Beside the Total Orders report:
    • Use the drop down menu to limit your report to only Active Registrants, Archived Registrants, or view ALL Registrants.
    • Click the printer friendly version icon  to view the data.
    • Click the column headers to sort the data by the Balance Due column.
    • As registrants may have two or more orders (the original order and any additional order modifications or cancellations), you must add up the balance due from each order, to determine the final amount owing.
